Two roles
For this website, a demo request and your account with us, we are responsible for your data.
The data you as a customer put into the portal — your carriers, drivers and routes — is yours. You are responsible for it and we are the processor: we only use it to make the portal work for you. We send a data processing agreement on request.
Which data
Demo request: name, company and e-mail address, and if you fill them in your phone number and number of routes. To prevent abuse of the form we keep an irreversibly hashed form of your IP address, never the address itself.
Portal users: name, e-mail address, phone number, role and language preference.
Carriers and drivers, entered by the customer: company name, contact person, e-mail address, phone number, address, Chamber of Commerce and VAT number, IBAN, licence plates and driver names. If WhatsApp notifications are on, also the phone number and the key for those notifications.
Routes: addresses, times, weights and amounts.
Location: only when a carrier turns on 'share location' during a route do we process the position of that device during that route.
For what, and on which basis
To contact you about your demo request (based on your request).
To provide the portal: logging in, handing out routes, drawing up invoices and creating payment files (performance of the agreement).
To create and keep our own invoices (legal obligation).
To keep the portal secure and prevent abuse (legitimate interest).
How long
We keep a demo request for up to twelve months after the last contact, unless you become a customer.
We keep data in the portal for as long as you are a customer. After the subscription ends you can export everything; we then delete the data within three months.
Invoices and anything we must keep for tax purposes we keep for seven years.
With whom we share data
We do not sell data and do not share it for advertising. We work with these service providers, who only act on our instructions:
Supabase — database and login. The data is stored on servers in Ireland (EU).
Vercel — hosting of the website and the portal. Vercel is an American company; transfers outside the EU are based on the European Commission's standard contractual clauses.
CallMeBot — sending WhatsApp notifications, only when they are turned on.
Our e-mail provider — for e-mails such as your login and the confirmation of a demo request.
Mollie — for subscription payments, once you take out a subscription.
Cookies
We only use cookies the site needs to work: to keep you logged in and remember your language. No tracking or advertising cookies, and no visitor statistics.
Security
Every company has its own shielded environment: the database only gives a user data from their own company, and within that company only what belongs to their role. All connections are encrypted. Cargro only looks into your environment when you ask us to.
Your rights
You can access your data, have it corrected or deleted, have processing restricted, object, and take your data with you. E-mail development@cargrosolutions.nl; we respond within one month.
Is it about data one of our customers put into the portal (for example as a carrier)? Then we help that customer handle your request.
If you disagree with how we handle your data, you can file a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).
Changes
If anything changes in how we handle data, we update this statement. The date at the top shows when that last happened.
